AI for nonprofits: less admin, more time for the mission.
Memberships, renewals, fees to match, meeting notices, attendance sheets: volunteer and staff time goes into managing members. AIR.TEK sets up, on subscription, a private AI that does this groundwork and only calls on you for special cases. Your members’ data stays where you decide.
The bottlenecks
Where your teams lose time.
Form received, record created, payment checked, confirmation sent: four manual steps per member, multiplied at the start of every season.
Transfers, checks, online payments: matching each payment to the right member and the right fee keeps the treasurer busy for whole evenings.
Fee reminders, meeting notices, updates: short on time, you send the same message to everyone — or nothing.
At every session, training course or general meeting: redo the list, print, collect, re-enter attendance.
How it works
Register, reconcile, communicate and track attendance.
- 1Register
A new membership creates the record, matches the payment and sends the confirmation — automatically. Only special cases (reduced rate, incomplete file) are shown to you.
- 2Reconcile
Every payment received is linked to the right member and the right fee; the treasurer only sees the discrepancies to settle.
- 3Communicate and track attendance
The AI writes and personalizes reminders, notices and updates for the right member at the right time — you review before sending — and generates pre-filled sign-in sheets in one click.

Your data
Your members’ data is personal: it’s protected.
A membership file contains personal data, sometimes sensitive — health, social situation, minors. The GDPR applies in full to nonprofits. That data only trains your model. You choose the hosting: a sovereign cloud, or a SABER server you control.
The simplest way to start, with major hosting providers.
With sovereign providers, for your tools as well as for the AI.
With SABER, no member data is sent to an external service: confidentiality is guaranteed by the architecture, not just by a contract.
Comparison
Three ways to do it.
| By hand | Online membership software | AIR.TEK | |
|---|---|---|---|
| New membership | Four manual steps per member | Online form, matching often manual | Record, payment and confirmation handled automatically |
| Membership fees | Line-by-line matching | Depends on the built-in payment method | Reconciled automatically, discrepancies shown to the treasurer |
| Emails to members | One message for all, or forgotten | Fixed templates | Written and personalized, reviewed before sending |
| Where member data goes | In-house | With the vendor | Wherever you decide: cloud, sovereign cloud or SABER |
| Cost | Volunteers’ evenings | Per member or per module | Fixed subscription |
Questions
Your questions, answered.
Is it suitable for a small nonprofit?
The benefit depends on the volume of admin, not on size: a nonprofit with a few hundred members, fees to reconcile and sessions to track already gets a clear return. The free 30-minute discovery call is how you check.
Can we keep our current management tool?
Yes. The AI connects to your software or your files and works alongside; it doesn’t force you to migrate everything.
Do emails go out without review?
No. The AI writes and personalizes; a person reviews and approves before sending. You keep your organization’s voice.
What about GDPR for member data?
You choose the hosting: a sovereign cloud, or a SABER server you control, from which data is never sent to an external service. Either way, it only trains your model.
How much does it cost for a nonprofit?
Like the rest of your IT with us: a short setup, then a fixed monthly subscription. The amount is in your proposal, after the free demo. Worked examples with figures are on the Comparison page.
